privacy and GDPR
Effective from 22 October 2026
This information concerns 4gospel.art, contact with the choir’s organiser and the current recruitment to 4GOSPEL.
controller and contact
The data controller is Fundacja Dobrostanu dla Pokoleń, ul. Jana Kiepury 4/8, 40-724 Katowice, KRS 0001242885, NIP 6343072321. Privacy contact: office@naszdobrostan.org. For recruitment, recordings and withdrawal of recruitment consent: art@naszdobrostan.org. You may also write to the Foundation’s registered address.
The Foundation has not appointed a data protection officer. Data-related requests are handled directly by the controller.
website operation and correspondence
When the page is displayed, the server receives technical data: IP address, connection time, address of the requested resource, browser information, server responses and any errors. We use these to deliver content, maintain security and diagnose faults. The basis is the controller’s legitimate interest under Article 6(1)(f) GDPR.
When you send a message, we process your email address, the information in your message and attachments to reply and handle the matter, also under Article 6(1)(f) GDPR. If the contact concerns preparation or performance of a contract, Article 6(1)(b) GDPR applies; statutory obligations are fulfilled under Article 6(1)(c) GDPR.
Technical website logs are usually retained for up to 15 days. A specific entry may be secured for longer if necessary to investigate an incident or protect legal claims. Correspondence is retained until the matter is concluded and afterwards only to the extent and for the time required to fulfil a legal obligation or protect claims, until the relevant limitation period expires.
joining 4GOSPEL
For the current recruitment, we process first and last name, place of residence, email, phone number, information about experience, motivation and proposed contribution to the ensemble, the uploaded file name and a voice recording. If you choose to send a video, this also includes your image. These data come from you through the form, correspondence and submitted recording.
The basis is your consent under Article 6(1)(a) GDPR. The purpose is to review the application, assess the recording, organise an audition and communicate the outcome of the current recruitment. Recruitment consent does not cover publication of the recording or your image. Access is limited to authorised people running the recruitment.
We delete data and recordings from the current recruitment no later than 3 months after it ends or earlier if consent is withdrawn. Joining the choir requires separate arrangements for further cooperation and data processing. Applications are not automatically kept for future recruitment rounds.
Providing data and consent is voluntary. Without the required data, recording or consent, we cannot consider the application. You can withdraw consent by email at any time; this does not affect the lawfulness of earlier processing. Recruitment decisions are made by the people running the process, not solely by automated systems. We do not profile candidates.
photos, statements and event coverage
The site presents choir members, musicians and event coverage. Portraits, biographies, statements and individual recordings requiring consent are published within the agreed scope under Article 6(1)(a) GDPR. Documenting activities through event coverage may be based on Article 6(1)(f) GDPR, respecting rules on publication of a person’s image and obtaining permission where required.
Materials are retained for the period covered by consent or for as long as the coverage remains useful to document the Foundation’s activities. If a publication concerns you, you may ask the controller to explain its basis, object or withdraw consent. We assess each request individually.
recipients and service providers
Data may be received by authorised people working with the Foundation and providers of hosting, technical maintenance, email and file storage, to the extent necessary for their tasks. The form and email use Microsoft 365 services. Data may be disclosed to legally authorised authorities.
The Microsoft Forms application form is displayed automatically in the open recruitment section. When it loads, Microsoft receives data including your IP address and browser information and uses technologies described in the cookie policy. You can disable the form in the footer’s privacy settings; a saved choice to disable it is respected on later visits. Displaying the form does not constitute recruitment consent: this is given separately when submitting an application.
When sending a recording through WeTransfer, you also use a separate service and its privacy policy. Links to Instagram, Google Photos and Google Drive open external sites only when selected. Local photos, videos and fonts on 4gospel.art are loaded from this site’s server.
processing outside the EEA
Microsoft and WeTransfer services may involve processing outside the European Economic Area. Depending on the recipient and service, safeguards include a European Commission adequacy decision or standard contractual clauses. You may obtain information and a copy of the applicable safeguards from the controller. Microsoft’s terms are described in its Data Protection Addendum (DPA) and Microsoft privacy statement.
your rights
Under the conditions of the GDPR, you may request access, a copy of your data, rectification, erasure and restriction of processing. Where processing is based on consent or a contract and is automated, you also have the right to data portability. You may object to processing based on legitimate interests and withdraw consent at any time.
We normally respond to requests within one month. If an extension is needed under the GDPR, we will explain it and the reasons. You have the right to complain to the President of the Polish Personal Data Protection Office. Exercising your rights does not require consent to marketing or to an external form.
cookies and updates
The scope and duration of browser storage and how to change your choice are described in the cookie policy. The current version of this information is always available in the website footer.
